Event, Exhibition and Conference Security

Aran provides security for events, exhibitions and conferences, including access control, crowd management and supervision. Start with the venue and event schedule: the entrances in use, when attendees arrive and which areas need a security presence.

Define the event security requirement

The scope should distinguish attendee admission, organizer operations and security responsibilities. Explain the entrances in use, event timetable, expected attendance and any areas restricted to exhibitors, staff or authorized guests.

  • Entry arrangements: identify how admission authorization is checked and which organizer team owns ticketing or registration.
  • Movement and queues: discuss expected arrival peaks, queue areas and the circulation requirements of the venue.
  • Supervision: define the event contact, operational coordination and the method for raising concerns.
  • Incident reporting: agree what is recorded and how issues are escalated to the responsible parties.

Prepare the organizer’s quotation brief

  • Event type, city, venue and dates.
  • Public opening times and setup or breakdown periods requiring coverage.
  • Expected attendance and the pattern of peak arrivals.
  • Entrances, restricted areas and organizer registration arrangements.
  • Required security duties, reporting contacts and any separately confirmed equipment needs.

Provide a high-level brief initially. Do not upload sensitive floor plans, access credentials or detailed security procedures to a public form; agree a secure channel for those materials.

Keep responsibilities clear

Security guarding should not be confused with every operational service at an event. Confirm separately who is responsible for ticket sales, fire safety, medical support, evacuation arrangements and venue approvals. Any deployment date, staffing level, inspection equipment or response commitment must be agreed in the commercial and operational scope.

Before accepting the quotation, identify the organizer’s contact for admission decisions, the venue contact for site arrangements and the security contact for reporting concerns. Check who is responsible for each task rather than assuming it is included. If the venue, opening hours, attendance estimate or entrances change, ask whether the security scope and price need updating.

Common procurement questions

Can the requirement include setup and breakdown?

Include those periods in your brief if coverage is needed. Availability and the duties for each period require confirmation.

Does a larger crowd automatically mean a fixed number of guards?

No universal figure is appropriate. Venue layout, access arrangements, hours and the agreed duties all affect the requirement.

Does this service include personal protection or medical response?

Do not assume those services are included. Ask about the exact scope and the responsible licensed providers for any separate specialist requirement.
